Switch Between Workspaces
Switch, create, and organize separate workspaces.
This article explains how to switch between workspaces in Respeak, create new workspaces, and when multiple workspaces make sense.
What Is a Workspace?
A workspace is a self-contained area in Respeak where experts, knowledge sources, team members, and settings all live together. All data within a workspace is separate from other workspaces.
Think of a workspace as its own folder that bundles everything for a specific purpose - for example, a department, a project, or a client.
Switch Workspaces
The workspace selector is at the very top of the sidebar. It shows the name of your currently selected workspace and your current plan.
Open the menu
Click the name of your current workspace at the top of the sidebar.
Select a workspace
A menu opens with the heading Workspaces, listing all your available workspaces. Click the workspace you want to switch to.
The currently selected workspace is highlighted in the menu. After switching, all content in the interface - experts, sources, settings - updates to reflect the new workspace.
Create a New Workspace
Open the menu
Click the name of your current workspace at the top of the sidebar.
Create a new workspace
Click Add workspace in the menu, enter a name for the new workspace (at least 3 characters), and confirm the creation.
The new workspace is added to your list right away and you can select it immediately.
Manage Workspaces
The workspace menu also includes a Manage Workspaces option. This takes you to an overview where you can see all your workspaces and access their settings.
Leave a Workspace
If you belong to a workspace you no longer need, you can leave it.
This option only appears if you are not the workspace owner.
Open the menu
Open the workspace menu.
Leave the workspace
Hover over the currently selected workspace to reveal a leave icon. Click the icon and confirm the action.
After leaving, you will no longer have access to that workspace's content.
When Do Multiple Workspaces Make Sense?
Multiple workspaces are useful in a variety of situations. You can separate departments by giving each one (e.g. Sales, Support, HR) its own workspace with tailored experts and knowledge sources. Larger projects with their own knowledge base and team members can benefit from a dedicated workspace. If you use Respeak for multiple clients, separate workspaces keep data cleanly isolated. And an extra workspace is great for testing and experimenting without affecting your production environment.
Data Is Separated by Workspace
Each workspace is fully independent. Experts are only visible in the workspace where they were created. Knowledge sources (files, websites, integrations) belong to a single workspace. Team members and permissions are managed per workspace, and settings like glossaries or workflows only apply within the respective workspace.
When you switch to a different workspace, you see only that workspace's content.
