Process Documents
Upload documents into a workflow and start processing.
Once you have set up a configuration, you can start processing documents. This article walks you through the process step by step.
Process Your Documents
Select a configuration
Open Workflows from the main menu and select the workflow type you want to use. You will see a table with all your configurations - select the one you need by clicking the checkbox on the left side of the row, then click Continue to Upload.
In the left column you will see a summary of your selected configuration: the active categories (shown as colored chips) and the defined extraction columns.
Upload documents
Drag and drop your files into the upload area, or click the area to select files through the file picker. The uploaded files appear as a list. Then click Continue to Process.
Start processing
Before processing begins, you will see a summary with a confirmation that everything is prepared, the number and names of all uploaded files, and a summary of the categorization settings (e.g. single or multiple categories, confidence threshold). Review this summary, then click Start Processing.
Track Progress
While the AI is working, you will see a progress bar with a percentage indicator and a status message showing what is happening. The results table fills in gradually as each document is processed.
You can stop the processing at any time by clicking Cancel.
Status per Document
The results table shows a status icon for each document:
Status | Meaning |
|---|---|
New | The document is waiting to be processed |
Processing | The AI is currently working on this document (spinning icon) |
Completed | Processing was successful |
Error | A problem occurred during processing |
After Processing
When all documents are finished, the results table shows the complete results with categories and extracted data. For categorization workflows, a Results Summary appears at the top showing how many documents were assigned to each category. You can export the results using Download CSV or click Start New Workflow to begin the next run.
Error Handling
If an error occurs during processing, Respeak displays an error message. Click Try Again to restart the processing. If the processing was cancelled, you will see a corresponding message and can start a new workflow.
